Administration Officer

Dovetree are looking for a part time Administration Officer to contribute within a small team to the efficient and effective delivery of a range of administrative services.

Key Responsibilities Include:

1.     Align one's workplace behaviour in accordance with the WMQ Charter, Values and Mission of the organisation.

2.     Demonstrate superior customer service skills in a busy care environment including a commitment to maintaining confidentiality & an empathy for staff, residents & relatives

3.     Undertake invoicing and reconciling accounts, purchasing and all non-medical stores.

4.     Management of roster changes, including use of Kronos data base.

5.     Identify and/or check requests for facility maintenance and submit through the T1 system.

6.     Participate in facility recruitment and orientation.

7.     Coordinate and oversight local building works, including liaising with maintenance and contract services.

8.     Participate in quality processes to meet legislative and regulatory compliance.

9.     Under delegation and as appropriate ensure effective complaints handling for residents and other significant persons regarding laundry, pharmacy, food, furnishings, maintenance, and other non‑clinical matters.

10.   Detailed understanding of staffing and workflows within an aged care environment.

11.   Responsible and accountable for own work.

Qualifications, Knowledge and Requirements:

Essential:

1.               Current Driver's Licence and willingness to drive in the course of work.

2.               Relevant probity checks required by legislation and WMQ policy.

3.               Demonstrated high level interpersonal, verbal and written communication skills, including a commitment to maintaining confidentiality and an empathy for staff, residents and relatives.

4.               Strong organisational abilities, including effective time management and ability to prioritise in a busy office environment.

5.               Ability to understand, interpret and apply conditions of service and workflows for staff in an aged care facility.

6.               Demonstrated competence in the Microsoft Office suite of applications.

7.               Sound knowledge of finance and accounting procedures including chart of accounts, and GST implications.

8.               Understanding and ability to competently use relevant systems applications. .

9.               Understanding of stock control procedures.

10.            Commitment to working within a continuous quality improvement team environment.

11.            Understanding and commitment to the principles of workplace health and safety.

12.            Willingness to work within the Philosophy, Policies and Procedures of Wesley Mission Queensland and The Uniting Church in Australia.

Desirable

1.     Diploma in Administration and Certificate 4 in Workplace Training and Assessment (or significant progress towards same).
