We are looking for an efficient administrator with exceptional customer service skills to join our Health and Wellbeing team at Wesley Missions Queensland’s Fulton Wellbeing Centre located at Sinnamon Park, Brisbane.  
 
  • You will be a people person who loves being part of a large team. 
  • You will enjoy a varied role supporting the Practice Manager and a team of clinicians with appointment scheduling, customer enquiries, producing documents and reports and other administrative office duties. 
  • We have experienced a significant increase in services provided to our NDIS customers, you will provide support to our clinical staff in provision of allied health services to this group of customers.
  • In providing support to our team, you will put the customer at the heart of what you do, help drive our customer-centric culture and be an excellent communicator. 
  • Strong organisational abilities, including effective time management and the ability to work autonomously and prioritise in a busy clinical environment will be key success factors.  Using required technology and systems and experience working in a similar role within a medical practice and/or allied health practice setting will be essential.

Due to an organisational restructure this role is a fixed term contract for 12 months with a review towards the end of this period.

 

Key Responsibilities Include:

  1. Provide support to ensure efficient appointment scheduling and resource allocation for clinical staff.
  2. Support the Practice Manager and Clinical Service Lead in addressing customer online and phone enquiries by filtering incoming enquiries and providing initial general information regarding WMQ services.
  3. Provide administrative assistance to produce written documents for clinicians, which may include service agreements, reports and correspondence.
  4. Research information, resources and equipment options, and develop resources for clinical staff upon request.
  5. Provide administrative support for clinical staff including photocopying, filing, and written correspondence.
  6. Contribute actively to a multi-disciplinary team environment to achieve the best possible outcome for customers.
  7. Communicate effectively with staff, customers, various stakeholders and the Practice Manager.
  8. Adopt and utilise a dynamic, mobile approach to customer service delivery.
  9. Provide support to centre reception when required and accept additional responsibility as required to enhance service delivery.
