Reception and Administration Officer
We are currently seeking a courteous, bubbly and professional front of house specialist to join our team as Receptionist for the Fulton Health and Wellbeing Hydrotherapy Pool and Gym.
Reporting to the Aquatic and Fitness Operations Manager, you will be joining a team of allied health professionals and playing a vital role in the in the health of the local community.
As the Hydrotherapy Pool and Gym Receptionist you will be the face of our services and be responsible for answering a wide range of customer enquiries. You will have a professional phone manner and be equally comfortable with face to face interaction.
Key Role Accountabilities:

Operations Management and Administrative Responsibilities
- Provide overall day to day operation of the front receptionist processes.
- Meet and greet all customers in a warm and professional manner
- Efficient appointment scheduling and resource allocation for clinical staff
- Monitor various functions within the hub including activities of a complex nature: manages therapy exercise groups; maintains meeting room and treatment room bookings; order stationary and other supplies.
- Monitor printers and administration equipment; coordinate servicing, deliveries and ordering of admin and non-admin consumables for the hub.
- Manage cash till and EFTPOS transactions and reconciles banking at the end of each day.
- Create receipts for fee-for-service payments and for customers claiming private health insurance.
- Manage Medicare rebates using HICAPS.
- Manage financial transactions through relevant practice management systems for payments and co-payments for therapy services.
- Process private health fund HICAPS payments
- Maintain currency of knowledge of hydrotherapy medical emergency and pool rescue procedures, including completion of Hydrotherapy Rescue training and/or basic first aid. (Dependent upon work location).

- Contribute to a customer centric culture that maintains their needs at the heart of all activities.
- Identify opportunities with service delivery team members to provide cross disciplinary services which may be of benefit to the customer.
Teamwork
- Contribute actively to a MDT environment to achieve the best possible outcome for customers.
- Communicate effectively with staff, customers, various stakeholders and the Practice Manager.
- Adopt and utilise a dynamic, mobile approach to customer service delivery.
- Accept additional responsibility as required to enhance service delivery
Qualifications, Knowledge and Requirements:
Essential:
- Willingness to work within Philosophy, Policies and Procedures of WMQ and the Uniting Church of Australia.
- Relevant probity checks required by legislation and WMQ policy.
- Demonstrated experience working in a similar medical practice and/or allied health practice setting.
- Demonstrated competence in the Microsoft Office suite of applications (particularly Word, Excel and Outlook).
- Demonstrated high level interpersonal, verbal and written communication skills, and a courteous phone manner
- Strong organisational abilities, including effective time management and the ability to work autonomously and prioritise in a busy clinical environment
- Demonstrated competence in using medical/allied health software programs (such as HICAPs), with the ability to transfer skills to new practice management systems.
- Demonstrated commitment to ongoing quality assurance and continuous quality improvement
- Current Driver's Licence and willingness to drive in the course of work.
- Current First Aid Certificate and Basic Life Support qualifications, or willingness to obtain prior to employment.
- Ability to swim confidently
