Hummingbird House is operated by Wesley Mission Queensland (WMQ). Hummingbird House, Queensland's only children's hospice and operates as a medically supported 'home away from home' for children affected by a life limiting condition, and their families. The standalone purpose-built facility offers 8 guest in care beds, 5 family accommodation suites and a unique 'end of life' suite.
Underpinned by the notion of creating a 'warm embrace' for children and their families, the multidisciplinary team provides 24/7hr scheduled and emergency specialist care short break stays; pain and symptom management; care at the end of life; and psychosocial support programs for the whole family. With strong connections locally, nationally and internationally with specialist paediatric palliative care services, Hummingbird House is an integrated community-based service delivering flexible child and family centred care.
Your new Role
An exciting opportunity to join the Hummingbird House fundraising team as an Administrative Coordinator.
This integral role will provide support for the Hummingbird House fundraising and marketing program through: administrative assistance, event and campaign support, donor and supporter care, and database administration and analysis. This position supports Hummingbird House in fulfilling its administrative objectives, and underpins growth in both fundraising income and supporter retention.
Key Duties Include:
- Provide high level administration support for fundraising and marketing program.
(assistance with recruitment and on-boarding, meeting coordination, office management, proofreading, and ongoing maintenance of file systems)
- Support the financial management of the fundraising and marketing program
(processing invoices, expenses, reimbursements, and financial reporting)
- Provide assistance with HH and community fundraising events and campaigns, as required.
- Build strong relationships with supporters via phone, mail and email communications.
(managing all fundraising inboxes and actioning donor / supporter emails in a timely manner)
- Support and undertake various donor care activities
(thank you calls, letters, welcome emails, and information updates)
- Liaise with the WMQ fundraising and finance teams to ensure personalisation and on-time turnaround
(accurately receipting and processing fundraising related financial records)
- Manage fundraising-related data
(accurate data collection and entry, database housekeeping, including but not limited to deduping, data cleansing, and other activities to ensure data integrity and quality)
- Provide data driven insights and solutions for fundraising activities
(data analysis, integration of data, and reporting. Including: building queries, segments, exclusion lists, and exporting data for specific campaigns and appeals)
- Ad hoc fundraising administration duties and projects, as required by the Head of Fundraising of Hummingbird House.
